Wouldn’t it be nice to not have to waste time digging through filing cabinets to locate old support documents? Did you know you can attach electronic files to almost any transaction in QuickBooks? You can attach receipts, invoices, statements and much more anywhere you see the paperclip icon! Your Chart of Accounts has the same feature so you can retain bank statements and reconciliation reports right there where they are easily accessible to you and your accountant. There are no restrictions on the types of files that can be used so let your imagination run wild! You can attach a limitless number of files to the same transaction.
One of the greatest features about retaining electronic files of your supporting documents is that they will be there forever. In the event of an audit, everything will be handy and ready to go! The files are stored in a separate location in the same folder where your company file ‘lives’. This will not increase the size of your company file in the desktop version and will not increase your file backup time. You can also use this feature in multi-user mode! Controllers can review source documents that staff members referenced to post specific transactions to verify accuracy in recording.
At year end, when you send your company file to ADKF for tax preparation, you can include the attachment file with your submission. Our tax experts will be able to review source documents to make important determinations on whether to capitalize expenditures without bothering you to dig up information. The Vendor center allows you to attach W9 forms to each name in the list. Preparing 1099’s is a breeze when you have all of your information stored in one location!
